Resources for remote work arrangements

If new or continued remote work has been made available on your campus or in your unit, staff and temporary employees may make a request to their supervisor to work remotely. Once discussed with your supervisor, your remote work arrangement must be officially requested, approved and recorded in the Remote Work Arrangement System.

This system is available at One.IU (search for “Remote Work”). The Remote Work Arrangement System, remote work policy, related guidelines and FAQs are always available via the IU Human Resources Remote Work web page.

About the system

The Remote Work Arrangement System is an online form where staff and temporary employees can request and document their remote work arrangements. It serves as the university-wide record of all staff and temporary employee remote work arrangements.

All remote work arrangements for staff and temporary employees must be recorded in the Remote Work Arrangement System. Discuss your remote work arrangement with your supervisor before completing the form with the information listed below in hand. Supervisors and HR representatives are responsible for approving remote work arrangements submitted via the Remote Work Arrangement System.

You will need the following basic information to complete the remote work request form:

  • Your remote work start and end date (if applicable).
  • Whether you will be working from home.
  • The country and state you want to work from.
  • Whether you are requesting fully remote work or a hybrid of remote and on-campus work.
  • Your core work hours.
  • Your reason for remote work.
  • Your direct supervisor’s name.

The Remote Work Arrangement System is not:

  • Intended for academic employees’ remote work arrangements. Academic employees are guided by policy ACA-83.
  • Used to submit requests for remote work related to ADA accommodations. Requests for remote work as an accommodation for a disability will be addressed through the university’s accommodations request process.

Planning your remote work arrangement

Because of the variety of roles at IU, remote work arrangements will naturally differ, with many details determined at the unit and departmental levels. Arrangements may be fully remote or a hybrid of on-campus and remote work.

Below are resources for discussing and planning your arrangement with your supervisor. Keep in mind that remote work is not suitable for every job, and remote work is a special arrangement.

Remote Work Policy (Staff and Temporary Employees)

Human Resources has developed a policy (HR-06-80) that establishes post-pandemic remote work guidelines for staff and temporary employees. It can help you and your supervisor evaluate and discuss the following:

  • Whether remote work is suitable for your role
  • What basic equipment is needed
  • Space considerations
  • Expense reimbursement
  • Documentation of remote work arrangements
